FUNCTION TERMS AND CONDITIONS

The schedule of the Function attached, forms the agreement between yourself and Orsett Hall (trading as OHBCC Ltd). All confirmed bookings made by clients in respect to function rooms and accommodation are accepted by Orsett Hall upon the following terms and conditions.

GENERAL POINTS

The Function will be held provisionally for 7 days from the date of an enquiry and all arrangements will be released following this period if Orsett Hall is not in receipt of this signed agreement and terms & conditions.

In the event of cancellation or non-arrival of the confirmed booking by the client, the client will be liable to pay Orsett Hall a cancellation fee to compensate for loss of business. The cancellation charges listed below will apply:

CHARGES FOR EVENTS

Where a cancellation of event or reduction in numbers for a function or pre-booked facilities is made the following charges will apply

  • Cancellations received more than 365 days prior to arrival Loss of deposit.
  • Cancellations received 364 – 181 days prior to arrival 25% of estimated cost of Function or loss of all deposits paid whichever is greater.
  • Cancellations received 180 – 91 days prior to arrival 50% of estimated cost of Function or loss of all deposits whichever is greater.
  • Cancellations received less than 90 days prior to arrival 75% of estimated cost of Function.


If the room is not vacated by the time indicated in the attached agreement the Hotel reserves the right to levy an additional usage charge.

In the event of you deciding to change your Function date, regardless of circumstances, a £150 administration fee will apply. Movement of dates will be permitted up to 545 days prior to your Function. After 545 days, movement of dates is at the discretion of the Management Team.

BEDROOM ACCOMMODATION

Method of reservations
All rooms offered are held on an allocation basis and will be released 60 days prior to arrival. In the event of an Exclusive Use Event, bedrooms will be released 181 days prior to arrival. After this release, rooms and rates are subject to availability. Reservations may be confirmed by calling Orsett Hall directly on +44 (0) 1375 891402 or by email reception@orsetthall.co.uk and quoting the Function name/reference or alternatively via the hotel website with access code when provided.
Pre-authorisation and payment policy
Pre-payment deposits will be taken from the guests' debit or credit cards at the time of booking. Guests are required to provide credit or debit card on arrival for the pre-authorisation of any additional extras during their stay. Pre-authorisations will be released at the time of check out if no additional charges have been added on the bill. Pre-authorisation can take up to 7 working days to release back to your account.
Client is solely responsible to pay for all guaranteed unpaid rooms within the bedroom allocation.
Please note that the cardholder must be present with the card at the hotel at the time of stay. No third party payments are accepted. Please be advised that payments made to the hotel by Credit Cards will have an additional transaction charge (Visa & Mastercard 2.5% and American Express 3.9% on total bill).
Cancellation Policy
Reservations are non-refundable and non-amendable.
Check-in and check-out procedure
Rooms are available for check-in from 2pm and checkout time is 11am. If for any reason, rooms are not available when guests arrive, we will be delighted to store luggage for them. We will also store luggage for those guests who may require a delayed departure. Early check-in and late check-out may be available subject to availability at an additional cost.
Non-arrival policy
In the case of non-arrival the guest or client (depending on billing arrangements) is liable to pay a no show charge which is equal to the full accommodation charge booked.
Early check outs
Any guest who departs the Hotel ahead of their scheduled date of departure will be charged up to and including the date of cancellation.

CANCELLATION NOTIFICATION

All cancellations must be made in writing to events@orsetthall.co.uk

The Orsett Hall reserves the right to cancel any booking forthwith, without liability on its part in the event of damage or destruction of the hotel by fire, lightning, explosion, riot and civil commotion, malicious damage, storm, flood, burst pipes, earthquake or impact, industrial action by the Hotel's employees or by the staff of a major supplier, postal bookings which do not reach the hotel, breakdown of plant, or any failure to supply the hotel with gas, electricity and water services etc or any other cause beyond the control of the Orsett Hall. In these circumstances Orsett Hall will try to give you as much notice as possible and will work with you to try and relocate the event to a substitute venue.

As the Hotel is in permanent use, we ask you to understand that it may be necessary to schedule works of a maintenance or re-development nature during the time of your event. While every reasonable effort will be made to ensure that these do not cause you any disruption, neither the Hotel nor its staff can be held liable for these circumstances.

The client shall notify the Orsett Hall in writing no less than 14 days prior to the Function of the final number attending. All confirmed bookings are accepted by the Orsett Hall on the basis that a minimum number will attend the Function for which the booking is made, the amount payable shall be calculated on such minimum numbers or the actual numbers attending, whichever is the greater.

If the number of persons attending reduces from the original number guaranteed, the hotel reserves the right to change the booking to a different function room and additional surcharges will apply.

A non-refundable/non-transferable deposit of £500.00 is required on confirmation of booking. All deposits and payments in advance of a function must be provided by credit or debit -card onlySERVICES, PRICING AND PAYMENT TERMS


Approximately 8 weeks prior to your Function, a meeting will be required between yourselves and the Orsett Hall Events Team. At this time, full details of your Function will be finalised. We will require menu options for all pre-ordered food and beverages, a final schedule for your Function, estimated number of guests and any of our additional services if required.

Rates are as agreed by the client and as stated overleaf. The client agrees that they will not be amended, changed or divulged to any third party unless specifically authorised by both the client and the Orsett Hall. All quotations are guaranteed for 30 days from the date of this agreement.

All rates include VAT @ 20%. In the event of a variation in the rate of VAT, the new VAT rate will be applied. Outside Catering Dry Hire is VAT Exemp.

No wines or spirits may be brought into the allocated rooms by the clients or guests for consumption on the premises, unless prior consent of the Hotel has been obtained. A charge will be levied for this.

Full Payment of the expected balance is due 14 days prior to the day of the function. Balance of extras due on departure.

Clients may request direct billing by filling in a credit request form and returning it to the hotel at least 28 days prior to the event. With credit approval by the hotel, the hotel will open a client account, to which all authorised charges will be billed directly. Credit facilities will only be extended to approved account holders.

ACCOUNTS AND SETTLEMENT CONDITIONS

Please note that Orsett Hall do not grant credit facilities to companies outside the UK.

Our settlement terms are 14 days after the date of invoice. Interest will be charged at 2% of the balance on all overdue payments.

Any payments made by credit cards will attract an administration fee of 2.5% of the credit amount and 3.9% for any payments made by American Express. If payment is made by BACS, debit card, cheque or cash no extra charge applies.

ADDITIONAL TERMS OF BUSINESS FOR DRY HIRE FUNCTIONS

The Management require a Self-Catering & Kitchen Holding Deposit of £1,500 if not using one of our Recommended Caterers, to cover all and any excess charges as a result of damage or additional cleaning required. The Holding Deposit is required no later than 1 month prior to your Reception. The deposit will be returned within 10 days after your Wedding minus any costs incurred.

It is your Caterers responsibility to familiarise themselves with Orsett Hall and the facilities that they are using. Your Caterers will be asked to sign an agreement upon arrival and departure to confirm all facilities are clean, tidy and in full working order. Please note, you will have the use of 1 x metal refuse bin to dispose of your general waste which must not contain food waste and should be compacted where possible. Food waste must be disposed of in the designated food waste bin. When you arrive at site, a member of the kitchen team will issue you with a green wheelie bin and clear plastic compactor sacks. You MUST put food only in the clear compactor sack. If it comes to our attention that there is any type of refuge/food/recycling contamination by yourselves, the charges incurred by us from our refuge service provider, will be passed onto you and deducted from the kitchen holding deposit. If you require an extra bin, there will be a charge of £75. The lid of the metal bin must be able to close without obstruction. We do recycle food, glass and cardboard, so please ensure you note the location of where to recycle. Cardboard must be flattened and glass bottles must be emptied prior to recycling.

Your Caterers must supply all cutlery, crockery, glassware and any kitchen utensils that are required. Orsett Hall will not be providing any of these items nor do they have the facility to hire this service.

Noise, in particular music must be kept to a reasonable level both within and outside the premises. There are statutory noise nuisance levels allowed and all hirers must comply with all regulations. Management reserve the right to curtail all noise deemed excessive both inside and outside the building.

Hirers and guests that book particular function Suites, have the right of access to and across immediate common areas and services, but must not trespass on other function Suites or their grounds.

LOSS AND DAMAGE

Under the Hotel Proprietors Act 1956, a Hotel Proprietor may in certain circumstances be liable to make good any loss of or damage to a guest's property even though it was not due to any fault of the proprietor or staff of the Hotel.

This liability however—
(a) extends only to the property of guests who have engaged sleeping accommodation at the hotel;
(b) is limited to £50 for any one article and a total of £100 in the case of any one guest, except in the case of property which has been deposited, or offered for deposit, for safe custody;
(c) does not cover motor-cars or other vehicles of any kind or any property left in them, or horses or other live animals.

The client shall be liable for any loss or damage caused to any part of the Hotel premises or to any fixtures and equipment in the situation where this may arise as a result of the conference. The client shall pay the Hotel the amount required to make good or remedy such repair.

The client and guests agree to comply with Orsett Hall's procedures and/or requests with regard to conduct and the respect for the property of the Hotel, its employees and its guests along with their health and safety at all times.

Orsett Hall cannot allow food or drink other than that purchased on the premises to be consumed within the hotel.

If you are booking your own DJ, Band or Musician, please note that we will require Public Liability (to the value of £3 million) Insurance Certificates and Appliance Test Certificates prior to them being permitted to play on Orsett Hall Premises. No Smoke, Haze or Bubble Machines are permitted within the Hotel.

The Client is responsible for all Suppliers working on their behalf.

SUPERVISION

Due to licensing, health and safety regulations, Orsett Hall must state they cannot accept any responsibility for the supervision of children/vulnerable people around the ponds, gardens or play area. Children/vulnerable people must be supervised at all times.

FINAL TERMS AND CONDITIONS

Any agreement which deviates from or is in addition to these terms and conditions must be in writing.
Individual terms and conditions may be discussed between the client and Orsett Hall, these will be at the discretion of Orsett Hall and will be confirmed in writing. The same procedure must be applied to any circumstances not covered by the contract.

CONTRACT TO BE RETURNED TO ORSETT HALL WITHIN 7 DAYS OF DATE PRINTED ON THIS AGREEMENT
(Failure to return the contract by the due date will result in services being released)

CONFERENCE TERMS AND CONDITIONS

The schedule of the conference attached, forms the agreement between yourself and Orsett Hall (trading as OHBCC Ltd). All confirmed bookings made by clients in respect to function rooms and accommodation are accepted by Orsett Hall upon the following terms and conditions.

GENERAL POINTS

The conference will be held provisionally for 7 days from the date of an enquiry and all arrangements will be released following this period if Orsett Hall is not in receipt of this signed agreement and terms & conditions.

In the event of cancellation or non-arrival of the confirmed booking by the client, the client will be liable to pay Orsett Hall a cancellation fee to compensate for loss of business. The cancellation charges listed below will apply.

CHARGES FOR EVENTS
Where a cancellation of event or reduction in numbers for a conference or pre-booked facilities is made, the following charges will apply:

  • Cancellations received 12 weeks prior to arrival No Charge
  • Cancellations received 12-8 weeks prior to arrival 25% of Contract Price
  • Cancellations received 8-5 weeks prior to arrival 50% of Contract Price
  • Cancellations received less than 4 weeks prior to arrival 75% of Contract Price


If the room is not vacated by the time indicated in the attached agreement the Hotel reserves the right to levy an additional usage charge.

Accommodation bookings of £1000 or less

  • Up to 4 weeks prior to arrival No Charge
  • 2 to 4 weeks prior to arrival 50% cancellation fee
  • 0 to 1 Week prior to arrival 75% cancellation fee


Accommodation bookings over £1000
Up to 12 weeks prior to arrival No Charge
9 to 12 weeks prior to arrival 25% cancellation fee
5 to 8 weeks prior to arrival 50% cancellation fee
0 to 4 weeks prior to arrival 75% cancellation fee

ACCOMMODATION TERMS

Method of reservations
Reservations will be made by rooming list. The list of names is to be provided no later than 14 days prior to arrival by email toconferences@orsetthall.co.uk
Guarantee policy
If guests are required to settle their own accommodation charges within a group booking the individual guest's credit or debit cards are required at the time of providing the rooming list. A client is able to guarantee all the bedrooms against one single credit or debit card or their credit facility (subject to credit approval).
Pre-authorisation and payment policy:
Guests are required to provide credit or debit card on arrival for the pre-authorisation of any additional extras during their stay. Accommodation cost is included in the payment plan of the Conference, if guests are not required to settle their accommodation charges individually. Please note that the cardholder must be present with the card at the Hotel at the time of stay. No third party payments are accepted. Please be advised that payments made to the Hotel by Credit Cards will have an additional transaction charge (Visa & Mastercard 2.5% and American Express 3.9% on total bill).

SERVICES, PRICING AND PAYMENT TERMS
Rates are as agreed by the client and as stated overleaf. The client agrees that they will not be amended, changed or divulged to any third party unless specifically authorised by both the client and Orsett Hall. All quotations are guaranteed for 30 days from the date of this agreement.

All rates include VAT @ 20%. In the event of a variation in the rate of VAT, the new VAT rate will be applied.

Orsett Hall reserves the right to require payment of a deposit and/or full payment at any time prior to the holding of the conference, the amount of which is determined as follows:

A non-refundable deposit of 25% of the contracted price, payable on confirmation of the booking.

Full Payment of the expected balance is due 14 days prior to the day of the function. Balance of extras due on departure.

If you are booking your AV Company please note that we will require Public Liaility (to the value of £3 million)

The client shall not deliver or arrange delivery of any goods or materials to the Hotel unless prior arrangements have been confirmed in writing. The Hotel cannot accept responsibility for the property of clients or guests of the Hotel.
Orsett Hall cannot allow food or drink other than that purchased on the premises to be consumed within the Hotel.

The schedule of the Wedding attached, forms the agreement between yourself and Orsett Hall (trading as OHBCC Ltd). All confirmed bookings made by clients in respect to function rooms and accommodation are accepted by Orsett Hall upon the following terms and conditions.

GENERAL POINTS
The Wedding will be held provisionally for 7 days from the date of an enquiry and all arrangements will be released following this period if Orsett Hall is not in receipt of this signed agreement and terms & conditions. Signatures of both the bridal couple required.

In the event of cancellation or non-arrival of the confirmed booking by the client, the client will be liable to pay Orsett Hall a cancellation fee to compensate for loss of business. The cancellation charges listed below will apply:

CHARGES FOR EVENTS
Where a cancellation of event or reduction in numbers for a Wedding or pre-booked facilities is made the following charges will apply
- Cancellations received more than 365 days prior to arrival Loss of deposit.
- Cancellations received 364 – 181 days prior to arrival 25% of estimated cost of Wedding or loss of all deposits paid whichever is greater.

We strongly recommend that you take out an appropriate Wedding insurance policy to cover you for your wedding day. Orsett Hall cannot be held responsible for any incidents that may occur which are out of our control.

All cancellations must be made in writing to the wedding team at Orsett Hall Hotel, and requires a minimum of 1 signature from the bridal couple.

Orsett Hall reserves the right to cancel any booking forthwith, without liability on its part in the event of damage or destruction of the Hotel by fire, lightning, explosion, riot and civil commotion, malicious damage, storm, flood, burst pipes, earthquake or impact, Industrial action by the Hotel's employees or by the staff of a major supplier, postal bookings which do not reach the Hotel, breakdown of plant, or any failure to supply the Hotel with gas, electricity and water services etc or any other cause beyond the control of Orsett Hall, In these circumstance Orsett Hall will try to give you as much notice as possible and will work with you to try and relocate the Wedding to a substitute venue.

All confirmed bookings are accepted by Orsett Hall on the basis that a minimum number will attend the Wedding for which the booking is made, the amount payable shall be calculated on such minimum numbers or the actual numbers attending, whichever is the greater. Guest numbers cannot decrease after this time.

SERVICES, PRICING AND PAYMENT TERMS
• A non-refundable/non-transferable deposit of £1,000.00 is required on confirmation of booking
• 50% of the remaining balance is payable 180 days prior to the Wedding
• Further 25% of the remaining balance is payable 90 days prior to the Wedding
• Final settlement in full is due 30 days prior to the Wedding
• Orsett Hall reserve the right to cancel a booking if the above payments are not made. A notice letter will be sent giving the couple 14 days to make the required payments or the booking will be cancelled.

The Management reserves the right to amend its published prices by giving a minimum of one month's notice. Our hire charges, surcharges and ceremony charges have been set to allow you to budget in advance your costs. Therefore, these charges will not change prior to your Wedding.

All Weddings must have an evening buffet of minimum of 75% of your total evening guests.

Final table plan for your Wedding is due 14 days prior to the Wedding date.

We will require date of birth details for both of the bridal party

It is not Orsett Hall's responsibility to liaise with the District Registrar with regards to services held at Orsett Hall and we accept no liability for a Wedding ceremony not taking place howsoever caused.

ADDITIONAL TERMS OF BUSINESS FOR DRY HIRE FUNCTIONS

The Management require a Self-Catering & Kitchen Holding Deposit of £1,500 if not using one of our Recommended Caterers, to cover all and any excess charges as a result of damage or additional cleaning required. The Holding Deposit is required no later than 1 month prior to your Reception. The deposit will be returned within 10 days after your Wedding minus any costs incurred.

It is your Caterers responsibility to familiarise themselves with Orsett Hall and the facilities that they are using. Your Caterers will be asked to sign an agreement upon arrival and departure to confirm all facilities are clean, tidy and in full working order. Please note, you will have the use of 1 x metal refuse bin to dispose of your general waste which must not contain food waste and should be compacted where possible. Food waste must be disposed of in the designated food waste bin. When you arrive at site, a member of the kitchen team will issue you with a green wheelie bin and clear plastic compactor sacks. You MUST put food only in the clear compactor sack. If it comes to our attention that there is any type of refuge/food/recycling contamination by yourselves, the charges incurred by us from our refuge service provider, will be passed onto you and deducted from the kitchen holding deposit. If you require an extra bin, there will be a charge of £75. The lid of the metal bin must be able to close without obstruction. We do recycle food, glass and cardboard, so please ensure you note the location of where to recycle. Cardboard must be flattened and glass bottles must be emptied prior to recycling.

Your Caterers must supply all cutlery, crockery, glassware and any kitchen utensils that are required. Orsett Hall will not be providing any of these items nor do they have the facility to hire this service.

Noise, in particular music must be kept to a reasonable level both within and outside the premises. There are statutory noise nuisance levels allowed and all hirers must comply with all regulations. Management reserve the right to curtail all noise deemed excessive both inside and outside the building.

Hirers and guests that book particular function Suites, have the right of access to and across immediate common areas and services, but must not trespass on other function Suites or their grounds.

ACCOUNTS AND SETTLEMENT CONDITIONS
Any payment made by credit cards will attract an administration fee of 2.5% of the credit card amount and 3.9% for any payments by American Express. Of course we gladly accept payment by BACS, debit card, cheques and cash, where no extra charge applies.

LOSS AND DAMAGE

Under the Hotel Proprietors Act 1956, a Hotel Proprietor may in certain circumstances be liable to make good any loss of or damage to a guest's property even though it was not due to any fault of the proprietor or staff of the Hotel.
This liability however—
(a) extends only to the property of guests who have engaged sleeping accommodation at the Hotel;
(b) is limited to £50 for any one article and a total of £100 in the case of any one guest, except in the case of property which has been deposited, or offered for deposit, for safe custody;
(c) does not cover motor-cars or other vehicles of any kind or any property left in them, or horses or other live animals.

The client shall be liable for any loss or damage caused to any part of the Hotel premises or to any fixtures and equipment in the situation where this may arise as a result of the Wedding. The client shall pay the Hotel the amount required to make good or remedy such repair.

The client and guests agree to comply with Orsett Hall's procedures and/or requests with regard to conduct and the respect for the property of the Hotel, its employees and its guests along with their health and safety at all times.

Orsett Hall cannot allow food or drink other than that purchased on the premises to be consumed within the Hotel.

If you are booking your own DJ, Band or Musician, please note that we will require Public Liability (to the value of £3 million) Insurance Certificates and Appliance Test Certificates prior to them being permitted to play on Orsett Hall Premises. No Smoke, Haze or Bubble Machines are permitted within the Hotel.

The Client is responsible for all Suppliers working on their behalf.

SUPERVISION

Due to licensing, health and safety regulations, Orsett Hall must state they cannot accept any responsibility for the supervision of children/vulnerable people around the ponds, gardens or play area. Children/vulnerable people must be supervised at all times.

FINAL TERMS AND CONDITIONS

Any agreement which deviates from or is in addition to these terms and conditions must be in writing.

Individual terms and conditions may be discussed between the client and Orsett Hall, these will be at the discretion of Orsett Hall and will be confirmed in writing. The same procedure must be applied to any circumstances not covered by the contract.

CONTRACT TO BE RETURNED TO ORSETT HALL WITHIN 7 DAYS OF DATE PRINTED ON THIS AGREEMENT
(Failure to return the contract by the due date will result in wedding being released)
